Two people left over the summer and the keys they handed back came up one short. Nobody is sure whether the missing key was for the front door, the stockroom or both, and the sign-out sheet stopped being filled in a year ago.

  1. Scene 1

    A walk of every door and lock

    The locksmith walks the premises with you and lists every opening that should be in the plan: the customer entrance, the receiving door, offices, stockroom, cash room, server closet, the mailbox, cabinets, and any padlocks on gates, compounds or roll shutters. Each lock is identified by type, since a mortise cylinder in an aluminum storefront door, a key-in-lever set on an office, a rim cylinder on a back door and an interchangeable core in a stockroom each come out and go back in differently. The keyway and the maker's mark are noted, and the condition of each cylinder is checked, so the list from the walk is what the quote and the work are built on.

  2. Scene 2

    Repinning a standard cylinder

    The cylinder is taken off the door and its plug is slid out with a follower, a small tube that holds the top pins and springs in place so nothing scatters. The old bottom pins are tipped out, and a new combination is chosen from the pinning records so it does not collide with any other key in the plan. Fresh pins of the matching depths are dropped into each chamber, the plug goes back in, and the new key is tried: it should turn as smoothly as if the lock were new, and the old key should stop dead. The cylinder is then refitted and adjusted so the cam or tailpiece throws the bolt fully.

    Keys counted into named hands

    Alongside the chart comes a key register: each key's stamped code, the person it was issued to, the date, and a line for the date it comes back. Filling it in as keys are handed out on the first morning takes ten minutes and pays off at every departure afterwards, because the question becomes 'return key A-07' rather than 'did she have a key?'. Spare keys are counted too and kept somewhere locked rather than in the drawer where the old tangle lived. When the register and the chart agree with the keys on the hook, the business knows exactly who can open it, which is the whole point of the exercise.

How often should a business change its keys as a matter of routine?

There is no fixed interval. Rekey on events rather than on a calendar: a key not returned, a lease change, a break-in, a renovation crew finished, or a key count that no longer matches the register. Businesses with a good register and a restricted keyway often go years between rekeys because nothing prompts one. A yearly check of the register against the keys on the hook is the habit that tells you when the time has come.

How long should we set aside for a commercial rekey?

It depends on the count and the mix. A shop with a front door, a back door and a stockroom is a short visit; an office suite with a dozen lever sets, a master key plan and a mailbox takes a good part of a day. Interchangeable cores are the shortest of all, since they are swapped rather than repinned on site. The locksmith gives a time estimate at the assessment, once every cylinder has been counted.

We are a landlord with a tenant leaving. When should the unit be rekeyed?

Between tenants is the ideal moment: the departing tenant has handed back their keys, the new one has not yet received any, and the unit is empty for the work. The incoming tenant then starts on keys nobody else has held, and the landlord's own master or emergency key is set up at the same time. Where a lease has ended in dispute, the locksmith asks to see the paperwork before changing locks on a unit that still holds a tenant's goods.
